LRG provides logistical, communications and meeting support for numerous Federal Advisory Committees and Councils within the Health Resources and Services Administration (HRSA). For each of these councils and committees, LRG provides a range of services including website development, event registration, meeting planning, materials production, meeting transcription and report development. LRG has made many of these meetings virtual during the COVID‐19 pandemic, often with little notice and limited resources. These meetings provide public stakeholders throughout the country an opportunity to review research and consult on key logistical and policy issues that affect organ donation and transplantation. LRG conducts these meetings throughout the country, and via webinar.
Bureau of Health Workforce
LRG provided conference and logistics management for the first-ever Bureau of Health Workforce (BHW) Virtual All Grantee and Stakeholder Meeting. BHW improves the health of the nation’s underserved communities and vulnerable populations by developing, implementing, evaluating, and refining programs that strengthen the nation’s health care workforce. The two-day event provided BHW grantees, stakeholders, and staff with an opportunity to convene virtually in the spring to discuss programs and their alignment with both “BHWise” and HRSA’s priorities. LRG developed a 508-compliant meeting website and custom registration portal for the event as well as branding for the meeting and an official logo. A robust virtual platform was needed to host up to 10,000 attendees. LRG worked with an industry- leading AV partner to ensure the virtual platform was easy to access from both an attendee and speaker standpoint.
Ryan White HIV/AIDS Program
LRG managed all logistical, production and promotional aspects of the 2016, 2018 and 2020 National Ryan White Conference on HIV Care and Treatment, a biennial, week‐long conference, which has attracted up to 8,500 attendees. This event, one of the largest federal conferences, includes multiple plenary sessions, more than 300 technical assistance workshops and 180 poster presentations to provide a comprehensive, timely overview of HIV care and treatment issues. The Ryan White HIV/AIDS Program is administered by the HIV/AIDS Bureau within HRSA. In 2020, LRG moved the event from an in‐person conference to a virtual event in less than three months, while doubling conference participation. LRG facilitated the pre recording of more than 300 educational break out sessions and set up a live recording studio to host high level plenary speakers. LRG’s support has included managing agenda development to include the abstract proposal process and coordinating all plenary and concurrent session speakers. LRG also managed all logistics for the conference including securing a venue, audio visual for hundreds of sessions and sleeping rooms at seven hotels. LRG also branded the event, developed and maintained a website and social media accounts, and customized a conference mobile app, used by thousands of attendees. LRG is currently under contract planning the 2022 National Ryan White Conference as a virtual event.
Food and Nutrition Service, SNAP Employment and Training Division
LRG organized, planned, and implemented the first ever SNAP Employment and Training Forum in 2020. LRG provided full conference support to include site selection, website development, logistics coordination, session proposal management, agenda development and on-site coordination. In the midst of the COVID-19 pandemic, LRG moved the event to all – virtual and organized a live stream studio for high – level plenary speaker presentations, pre-recorded 20 breakout sessions, and conducted 15 live discussion sessions.
Virtual Meetings + Events (Non-Profits)
LRG provides comprehensive organizational management, content development, event planning and creative services for ADC, a national nonprofit association that brings together leaders of communities, states, installations, the military services and private sector partners. For almost 40 years, ADC and its members have worked together on military readiness, installation effectiveness, community‐installation collaboration, redevelopment successes, and quality of life for service members and veterans. On ADC’s behalf LRG also manages up to 15 events each year with active participation of the Department of Defense, Congress and other federal agencies. Under LRG’s management, ADC has become a respected source for finding — and maintaining relationships with — some of the country’s top‐tier speakers and policy experts for its live events but also for its virtual events and through its widely read daily news outlet, On Base.
A description of two ADC initiatives, all launched virtually during the COVID-19 pandemic are below:
COVID‐19 Military Support Initiative
LRG developed and implemented a comprehensive outreach and support campaign on behalf of Blue Star Families and the Association of Defense Communities to support military families during the pandemic. LRG provided comprehensive coverage of the COVID‐19 crisis through a new daily publication, hosted more than 20K people in two dozen virtual town halls that included the Joint Chiefs of Staff, Secretary of Defense and the Second Lady. One Military, One Community Initiative
LRG developed and launched the One Military, One Community Initiative for the Association of Defense Communities. This national conversation within the greater military community is working to ensure that racism, intolerance or inequality is no longer an issue for military families. LRG is documenting the experiences the impact of racism and inequality on military families through analytical and direct methods, developing resources for communities to take action locally and providing resources to enhance the conversation nationally.
Other Federal Agency Work
LRG was the lead contractor providing event logistical support, conceptual document design, professional editing and strategic communications counsel to the USAID Global Health Bureau’s Tuberculosis. As such, it was tasked with planning and implementing the federal government’s premier event on World TB Day, which brings together hundreds of guests from around the world — including diplomats, medical leaders, high‐ ranking officials, members of the media and citizens to celebrate advances in stopping one of the world’s most dangerous illnesses. LRG developed every detail of its event plan in close coordination with USAID, hosting initial discussions on the strategic goals, outcomes and target audience before determining the location, marketing approach, program format, speakers, awards recipients, special invited guests, exhibit displays, printed outreach materials, signage, catering, registration and other logistics that were included in LRG’s detailed work plan and budget. LRG assisted in logistics for special guests, including members of Congress, foreign ministers of health, emcees, awardees, strategic partners, and other VIPs. LRG also supported other USAID programs and strategic communications needs throughout the year, such as marketing and outreach materials design and video production, including coordinating and executing a video shoot in South Africa.
LRG supports FHFA by providing creative design services for by designing, producing and delivering program and attendee materials that match the agency’s branding guidelines and give each event an individual look and feel. LRG has also designed, edited and produced the agency’s annual Performance Accountability Report, which is submitted to Congress since 2018. FHFA is an independent regulatory agency created through the Housing and Economic Recovery Act of 2008. It oversees vital components of the secondary mortgage markets and acts as the conservator of Fannie Mae and Freddie Mac.
Ginnie Mae
LRG provided event management, outreach and communications support for Ginnie Mae, an independent corporation within HUD that allows community banks and large financial institutions to invest private capital into the federal loan programs that support first-time homebuyers across the country. LRG works closely with Ginnie Mae to produce comprehensive event plans, and presenter support for up to 20 events each year, including an annual Ginnie Mae-hosted Summit that LRG helped launch in 2013 and which now brings 700 attendees from across the country to the Washington, D.C., area. LRG also provides professional editing and conceptual graphic design services for printed materials used in conjunction with conferences, outreach events and other purposes.
National Fair Housing Training Academy
LRG served as the lead logistics contractor for the 2018 National Fair Housing Training Academy. Nearly 600 attendees gathered in Washington, DC for a 3-day conference focusing on fair housing rules and requirements. LRG provided a conference website, secured a venue, all conference materials, conference evaluations, and arranged for expert speakers. In addition, LRG provided on-site support and moved the conference dates due to a natural disaster during the first scheduled dates.
